The Flathead 4-H Council is a committee of 4-H Volunteer Leaders that oversee Flathead County 4-H progaming. Below is a description of what 4-H Council and Committees look like.

May 28, 2020 Council Meeting Minutes Approved

The May 28th, 2020 Flathead 4-H Council meeting was called to order at 6:06 p.m. by president, Sandy Evenson, via Zoom online.  Pledges were done.

Minutes to the last meeting were read silently by those present.  Maleah McQuade motioned to accept the minutes.  Motion was seconded by Kelly Sue Bain.  Motion carried.

Kelly Marsall reported that we have $26,567.87 in checking.  There is still an outstanding check of $59.29 that is not needed and will be voided.  Sara Hall motioned to accept the treasurer’s report.  Amie Warner seconded.  Motion carried.

Club Reports:

                Grandview Supreme will meet face to face this June and catch up on plans and make decision about the dance.

                Ambassadors met and discussed setting up Facebook and Instagram to reach more people.  They will meet in June to see what else they can help clubs with.

                Smith Valley Boosters made pillowcases for St. Judes.  They will meet in June and plan their project tour for July.

                Flathead 4-H Shooting Sports reported that they lost an icon.  Pay McVay passed away and his family will be holding a celebration of life in late August.  The Council will send a sympathy card to his family.  Marcia Burns motioned to send a flower boutique or plant to the family for the celebration of life.  Motion seconded and carried.  Discussion was had about amount to spend around $80 to $100.  They are getting ready for muzzle loading and will have a booth at the Fair.

                Country Cousins will meet in June to make sure everyone’s projects are coming along and will be scheduling roadside cleanup.

                Glacier View have been working on their projects.

                B&F Livestock met outside this month and everyone has their animals and working on projects.

Committee Reports:

                Awards committee has collected $3711.95 so far this year.  They have given information to the fair office to be printed in the fair book.  The fair book will be online only this year.

                County Congress can only be virtual this year.  It will go out in the June newsletter asking members to let the Extension office know if they are interested in participating in one of the categories.

                Buyer’s Breakfast will meet this next month to discuss a plan.  Dana needs a letter with the 4-H logo on it to give to the school regarding using the kitchen.

                Sheep Committee reported that the market lamb replacement deadline is June 30th.

                Horse Committee reported that horse cards are due June 15.  Clinic 6 and Clinic 7 dates have not been confirmed yet.  Also, there are still quite a few members that need to get forms turned in and assessments done.

                Beef Committee will have a professional hoof trimmer at the fairgrounds on June 27th at noon for anyone interested.  They will also have a pre-fair clinic that day and the scale will be open for anyone wanting to weigh.  Ginger May will compose an email for the office to send out regarding the hoof trimming details and asking members to RSVP if they are bringing their animal to the hoof trimming.  Ginger May also reported that the committee has been meeting with Mark and Chip with the fairgrounds and discussing the barn layout and hoping to make more room for animals.

                Hog committee reported that the hog replacement deadline is May 31st.  The hog live clinic #1 will be June 13 from 10 a.m. to 12 p.m. at the fairgrounds.  The scale will be open for anyone wanting to weigh their hogs.

                Rabbit, Poultry, & Cavy will hold their LQA on Tuesday, June 2nd.

Old Business:

                Online 4-H record keeping system – Zsuites

                Graduation cords are available in the office.

                Adult State Awards are due June 1st.  Nori Pearce mentioned wanting to nominate Pat McVay for the Montana Hall of Fame award.

New Business:

                Adopt a Cabin opportunity for clubs to help maintain the cabins. Application attached.

                State 4-H Congress is virtual this year.  Information is attached.

                Discussion regarding some colleges starting early and members not being able to show their animal at Fair.  Nori Pearce will talk to FFA and see what their thoughts are with another member possibly showing a member’s animal and still being able to sell at the Market Sale.

                Flathead County 4-H Camp will be possibly day camps, no overnight camp.  Counselors have been chosen and are coming up with ideas.  The next counselor meeting will be June 3rd at 6:30 via Zoom and the Council officers will be invited to join.

                Nori Pearce introduced Amanda Kauffman, who is a summer 4-H inter with MSU.  Amanda was in the Dandy Dudes and Dolls 4-H Club for 8 years and is exited to be with us this summer.

 Next meeting will be June 25th at 6 p.m. in the Country Kitchen or 4-H Building.

WELCOME
Thanks for participating in the governance of your local 4-H program. Your county 4-H
council, the district council and the Montana 4-H Council are three key elements to a
strong 4-H program built on local decision-making and determination. Whether you are
new to 4-H or a long-time participant, this handbook is designed to give you some tips,
guidance and direction for a more effective county 4-H council. By incorporating some
of the tried and tested ideas in this handbook, your county 4-H council can become a
strong advocate for youth development in your county, district and within the state.
Your county 4-H council is a key element of an effectively functioning 4-H program,
because your council depends upon parents and other participants for representing the
interests and values of local 4-H families. Every county should have a county 4-H council
that represents all 4-H clubs within the county.
The District Council is comprised of representatives from each county council, and
makes decisions regarding district events (like the district leader’s meeting, trainings and
other activities). In Montana there are eight districts. Districts are listed on page 40.
The Montana 4-H Council is the state level board that represents all leaders and
includes two representatives from each district. This board provides key advice and
direction to the state 4-H staff and other groups working on behalf of Montana 4-H.
Please use this handbook often to give you ideas, guide your deliberations, and provide
guidance as you work with others to make your county 4-H council the best it can be.

Annual report — A brochure developed by an organization which lists the year’s activities and the year-end

Trusteeship — The process of making an individual commitment, on behalf of the general public to consider

Budget — A plan for the coordination and expenditures of an organization.
Fundraising — A planned process whereby money is raised to assist the organization in its work.

Executive committee — A committee of the board composed of the officers who can make decisions for the
board meetings. Officers generally involved are the president, vice president, secretary and treasurer.
Code of ethics — A set of principles board members are expected to meet which have been adopted by
the entire board.
Common good — When individuals and organizations make decisions based on the needs of the entire
community, they act for the common good. These broader decisions demonstrate what is meant by “serving
the common good.” In simple terms, it is not what is good for me or you, but what is good for us.
Standing committees — Those committees of the board that meet between board meetings to discuss
activities for the organization and to make recommendations to the board. Committees generally include:
Program, Finance/Ways and Means, Nominating, Future Planning, Personnel, and others as designated by
the board.
Adjournment — To end a meeting. In a board meeting a motion is made to adjourn (end) the meeting.
